Privacy Policy

ROVE HR System (the “Platform”) is an internal application used by ROVE to run its hiring and employee‑lifecycle processes. This policy explains what information the Platform collects, how it is used, and how it is protected. It covers ROVE staff who use the Platform and candidates whose details are processed through it.
1. Information we collect
- Account & profile - name, work email, employee ID, department, job title, timezone, role, and your password (stored only as a secure hash by our authentication provider).
- Candidate data - for people in a hiring process: name, contact details, resume reference, screening‑form responses, assignment submissions, interview schedules, and reviewer notes.
- Operational data - email campaign and delivery status, interview calendar events, and approval/role history.
- Technical data - sign‑in sessions and security tokens needed to keep you authenticated.
2. How we use your information
We use the information solely to operate ROVE's internal HR processes, including to:
- create and approve accounts and enforce role‑based access;
- run the hiring pipeline - forms, assignments, reviews, and interview scheduling;
- send work‑related email (invitations, assignments, interview invites);
- check calendar availability and create interview events;
- maintain employee records across the onboarding‑to‑exit lifecycle.
3. Service providers
The Platform runs on Google Firebase (authentication and database) and uses the Gmail API to send email and the Google Calendar API to check availability and create interview events, all under ROVE's Google Workspace. These providers process data on our behalf under their own security and privacy commitments. We do not sell your data or use it for advertising.
4. Data storage & security
Data is stored in ROVE's Firebase project with access enforced by security rules and role‑based permissions. Privileged actions run server‑side. Passwords are never stored in readable form. Access is limited to authorized ROVE personnel for the purpose of their role.
5. Data retention
We keep information for as long as needed for the relevant hiring or HR purpose and to meet ROVE's record‑keeping obligations. When a person leaves, their records may be archived rather than immediately deleted, and removed when no longer required.
6. Your rights
You may request access to, correction of, or deletion of your personal information held in the Platform, subject to ROVE's legitimate record‑keeping needs and applicable law. Contact your ROVE administrator to make a request.
7. Cookies & sessions
The Platform uses only the cookies/local storage necessary to keep you securely signed in and to remember interface preferences. It does not use advertising or third‑party tracking cookies.
8. Changes to this policy
We may update this policy from time to time. Material changes will be communicated through the Platform or by your administrator.
